New patients may need to give contact details and the reason for the visit at a high level. They may share preferred times. They may also need the forms or arrival instructions your practice approves. The agent asks only what your intake rules require. Then it books an allowed appointment type or arranges for a person to finish enrolment.
Existing patients may need a quicker route to book, move or cancel. The agent follows your identity checks. It uses patient context only when the connected system and your policy allow it. If it cannot confirm identity safely, it escalates. It does not guess.
Household bookings and recalls stay inside the rules you set. So do requests to "squeeze me in". Exceptions go to staff with a summary. The agent will not force them into a slot that does not suit.
Cleanings, reschedules and an illustrative demo
For routine hygiene bookings and reschedules, the agent checks live availability and applies duration and provider rules. It writes the change when the connection works. It then confirms through a channel you have configured, such as SMS or WhatsApp.

For evenings and weekends, after hours answering follows the same rules. The agent books approved visits and leaves a morning summary. Anything that cannot wait gets escalated.
Insurance questions have clear limits
An AI dental receptionist can share answers your practice has written about the insurance process. Examples include how to send details before a visit and when benefits will be checked. It must not invent eligibility. It must not quote a patient's exact liability as fact or promise what an insurer will pay.
When a question needs a benefits check or a judgement call, the agent collects only the details your script allows. Then it hands off to staff.
UK NHS and private pathways depend on the practice
UK practices may use different appointment types, scripts and escalation paths for NHS and private care. During scope we map your rules for each pathway. We do not claim a universal NHS booking product. We do not claim guaranteed capacity or clinical triage for urgent dental pain.
Calendar and practice system diligence
For us, "booked" means the appointment exists where your team trusts it. Before we define what the agent may create, move or cancel, we assess the connection paths your stack supports. Examples are an API or webhook for data and SIP for telephony. Our voice practice names Google Calendar, Calendly, HubSpot, GoHighLevel, Zoho and Dentally as integration examples. Those examples are no promise of native write back to every practice management system.
In the first sessions we ask which practice system and phone setup you use. We ask what write back is allowed and how we will verify a successful change. English, Gulf Arabic and human escalation
Where scope requires it, our voice practice supports English and Gulf Arabic. Callers can switch between the two during the call. Every agent tells callers it is an AI at the start of the call. We set consent and recording rules for your market and workflow.
Tooth pain, swelling, trauma and medical history concerns need the clinical team's judgement. So does any question like "is this an emergency?". The agent follows your escalation script and gathers the essentials. Then it transfers the call or arranges a callback. It does not diagnose or give treatment advice.
